Residence Private Home Management Inc., operating as RESIDENCE ("RESIDENCE," "we," "us," or "our"), provides private home-service coordination and household support in Edmonton, Alberta, and select surrounding communities.

We respect the privacy of our clients, prospective clients, service professionals, and website visitors. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit residenceprivate.ca, submit a request, communicate with us, or use our services.

1. Personal information we may collect

Depending on how you interact with RESIDENCE, we may collect:

- your name, email address, telephone number, preferred contact method, and other contact information;
- your city, community, postal code, service address, and information reasonably required to coordinate access to the property;
- details about your home, requested services, household preferences, schedules, instructions, and service history;
- estimates, invoices, payment status, transaction records, and limited billing information. Payments may be processed by third-party payment processors, and RESIDENCE does not necessarily receive or retain complete payment-card information;
- communications with us, including form submissions, emails, text messages, call notes, feedback, complaints, and service-related records;
- photographs or videos of a property, its condition, or completed work, when reasonably required for estimating, documenting, coordinating, or confirming a service and where appropriate consent has been obtained;
- information concerning service professionals, including identity, contact information, qualifications, references, insurance or licensing information, availability, and performance records; and
- technical information collected through the website, such as IP address, browser or device information, referral source, cookies, and basic website-usage data.

Please do not send alarm codes, door codes, lockbox codes, identity documents, financial account information, or other highly sensitive information through the general website request form. We will arrange a more appropriate method when such information is genuinely required.

2. How we use personal information

We may use personal information to:

- review and respond to inquiries and service requests;
- clarify the scope of work and prepare estimates, quotes, work orders, and service agreements;
- identify, assess, schedule, and coordinate appropriate independent service professionals;
- share necessary instructions with an approved service professional;
- process payments, issue receipts, administer cancellations, and maintain business records;
- communicate about scheduling, access, changes, completion, quality follow-up, and customer support;
- protect clients, properties, service professionals, RESIDENCE, and the public;
- investigate incidents, complaints, suspected fraud, safety concerns, or breaches of an agreement;
- improve our services, provider network, communications, and website;
- send promotional communications where we have consent or are otherwise permitted by law, with an option to unsubscribe; and
- meet legal, regulatory, insurance, accounting, tax, and contractual obligations.

We will collect, use, and disclose personal information only for purposes that are reasonable in the circumstances and only to the extent reasonably necessary for those purposes.

3. Consent

By voluntarily submitting information, requesting service, approving a quote, or otherwise dealing with RESIDENCE, you consent to the reasonable collection, use, and disclosure of personal information described in this Policy.

Where required, we will seek additional consent for a new purpose or for particularly sensitive information. You may withdraw consent, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may prevent us from providing or continuing a service that requires the information.

4. When we disclose personal information

We do not sell personal information.

We may disclose relevant personal information to:

- independent service professionals being considered for or assigned to an approved request, but only to the extent reasonably required to assess, schedule, perform, document, or follow up on the service;
- payment processors, website and form providers, scheduling or communication platforms, cloud-storage providers, accountants, insurers, legal advisers, and other vendors that support our operations;
- a person authorized by you, such as a household member, property representative, assistant, or other designated contact;
- law enforcement, regulators, courts, insurers, or other parties where disclosure is required or permitted by law or reasonably necessary to protect rights, safety, property, or the integrity of our services; and
- a successor organization in connection with a proposed or completed sale, financing, reorganization, or transfer of all or part of the business, subject to appropriate confidentiality protections.

Independent service professionals may operate their own businesses and may have their own privacy practices. RESIDENCE requires service-related information to be used only for legitimate purposes connected with the request, but an independent provider may also have legal obligations that apply directly to its records.

5. Service addresses, access information, and property images

Information about a private residence can be sensitive. RESIDENCE limits access to service addresses, household instructions, property images, and access information to people who reasonably require it for an approved business purpose.

We will not use identifiable photographs of a client's home for advertising, a portfolio, social media, or promotional purposes without separate permission. Documentation photographs taken for estimating, quality control, incident reporting, or service confirmation will be used only for legitimate operational purposes unless additional consent is obtained.

Clients should provide temporary or service-specific access arrangements whenever practical and should change or revoke access credentials after the service when appropriate.

6. Payment information

Payments may be processed through a third-party payment provider. That provider may collect and process payment information under its own privacy policy and security practices. RESIDENCE may retain transaction identifiers, payment status, receipts, refunds, and related accounting records, but does not intentionally store full payment-card numbers through the general website.

7. Cookies and website analytics

Our website and its service providers may use cookies or similar technologies required for website operation, security, form functionality, analytics, or performance. You may be able to control cookies through your browser settings, although disabling certain cookies may affect website functionality.

The website uses Google reCAPTCHA to reduce spam and abuse. Google's Privacy Policy and Terms of Service apply to reCAPTCHA. Those Google documents do not replace this RESIDENCE Privacy Policy.

8. Storage and processing outside Alberta

Some service providers may store or process information outside Alberta or Canada. When information is processed in another jurisdiction, it may be accessible to authorities in that jurisdiction under applicable law. RESIDENCE uses reasonable contractual, technical, and organizational measures appropriate to the sensitivity of the information and the services involved.

9. Retention

We retain personal information only as long as reasonably necessary for the purposes described in this Policy or as required for legal, tax, insurance, accounting, dispute-resolution, or legitimate business-record purposes. When information is no longer reasonably required, we will securely delete, destroy, or anonymize it, subject to technical and legal limitations.

10. Safeguards

RESIDENCE uses reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These may include access restrictions, password protection, limited disclosure, provider confidentiality expectations, secure payment processing, and procedures for handling access information and incidents.

No internet transmission or storage system can be guaranteed completely secure. If a privacy breach creates a real risk of significant harm, RESIDENCE will take reasonable response measures and provide notifications required by applicable law.

11. Access and correction

Subject to applicable law, you may request access to personal information RESIDENCE holds about you and ask that inaccurate or incomplete information be corrected. Requests must be made in writing and may require reasonable identity verification.

We will respond within the time required by applicable law. Legal exceptions may limit the information we can provide, including information about another person, privileged information, or information that cannot be disclosed for security or legal reasons.

12. Children

Our services are intended for adults who are legally able to request and approve household services. We do not knowingly collect personal information directly from children through the website. If you believe a child has submitted personal information without appropriate authorization, contact us so we can review and address it.

If we cannot resolve a concern, you may have the right to contact the Office of the Information and Privacy Commissioner of Alberta or another applicable privacy regulator.

14. Changes to this Policy

We may update this Privacy Policy as our services, systems, providers, or legal obligations change. The current version will be posted on this page with a revised effective date. Material changes will be communicated where required by law.
